This year, the school’s delegations will be split amongst 2 hotels to ensure adequate rooming for all conference attendees. Depending on the final count of your school’s delegation and means of transportation, the ABC conferencing team will email your delegation’s assigned hotel and number of rooms to reserve by December 2nd. This gives delegation leads enough time to reserve all needed rooms before December 20th. Once your delegation is given its assigned hotel, call your assigned hotel and state you will be reserving your rooms for the Afrikan Black Coalition Conference.

IMPORTANT HOTEL INFORMATION
Hotel reservations must be for January 17-20 (3 nights) with the same number of hotel rooms each night. To secure rooms for your campus, contact your delegation’s designated hotel reservations team and mention “Afrikan Black Coalition Conference Room Block,” sharing the following information:

❏ On-site contact person, email, & phone number
❏ Number of rooms (must be the same for each night)
❏ Expected payment method (See “Hotel Payments” section)
❏ Credit card or first night room deposit
❏ Estimated arrival time and number of attendees arriving together
After reserving rooms, notify the ABC Conferencing Committee immediately by sending an email (including all information provided to the hotel reservation team) to email@example.com. The final day to make reservations is December 20h. The last day to submit hotel payments is December 20th.
Hotel payments will be paid directly to the hotel and should be submitted with basic rooming list (see “Room Arrangements & Identity” section below for details on what to include on the list) by December 20th. Early payment is strongly suggested. Late payments will result in termination of reservations and thus loss of hotel accommodations.
Acceptable types of payments include credit card via secured service the hotel contracts with, wire/bank transfer if transfer fee is included, or check providing time to clear. We strongly suggest you send checks at least one week prior to payment date, as to ensure payment clears by December 20th.
Room Arrangements & Identity
To aid in the process of acknowledging and accommodating identity and how it impacts one’s comfort in terms of room arrangements, we have compiled a presentation (http://bit.ly/2CeF98r) for each campus delegation team to review and a resource (http://bit.ly/1kkovDo) Although the room preference responses will make placement straightforward, these materials should provide additional context.
Complete a comprehensive delegation list (all fields MUST be completed) no later than November 30th and a basic rooming list (including campus or group name, first and last name of each delegate, and all delegates grouped into each rooms of up to four delegates per room) to the hotel reservations team by December 20th. If additional assistance or time is needed, feel free to contact the ABC Conferencing Committee.
To complete the Finalized Delegation sheet, find your campus sheet and enter the following information for each delegate: Name, Pronouns, Shirt Size, Dietary Restrictions, Special Accommodations and their assigned hotel room number.
Upon check-in, each campus representative is responsible for putting down a credit card for damage incidentals. If damages are caused by your campus, financially your campus will be responsible for payment. Contractually, we have arranged for the hotel to request payment at the time of purchase from delegates for all other incidentals (i.e., room service, gift shop, in-room entertainment).
Safety & Protection
We are inhabiting spaces that are not our own. We will proudly take up space and enjoy every moment of OUR weekend, but we strongly advise that all delegates also remain vigilant and protect self and belongings. All campuses will be provided a contact sheet upon arrival listing who to contact if any issues may arise.
Hotel Parking: Parking at the Fullerton Marriott Hotel for the entire conference weekend is free of charge.
Parking at the Residence Inn by Marriott will be provided for a $5 charge per day.
